Welcome to HiClinica — Health Intelligence Clinica — the clinical management system built for doctors and care teams working in Australian residential aged care. This manual explains everything you need to know to use HiClinica day to day, from your first sign-in to billing a comprehensive health assessment.
What is HiClinica?
HiClinica brings a resident's complete clinical picture onto a single screen. Instead of switching between paper charts, separate billing software and email, you select a patient and everything you need — their history, allergies, medications, correspondence and today's visit — is laid out in one flexible workspace.
It is designed around the way aged care visits actually happen: often several residents in one session, frequent use of structured assessments, and a steady flow of letters, reports and care-planning documents between the facility, GPs, specialists and families.
Key capabilities
Write structured visit notes with a built-in timer, save drafts and review every past note in context.
Record a consultation and receive a transcript, suggested note points and pre-filled questionnaire answers for your review.
Capture observations, system reviews and validated assessments such as the Rockwood Clinical Frailty Scale.
Keep allergies and adverse reactions visible at all times and manage each resident's medications.
File incoming reports, compose referrals and manage Advance Health Directives and Statements of Choices.
Track eligible Medicare Benefits Schedule items for every visit with the billing checklist.
Who this manual is for
This manual is written for the people who use HiClinica in their daily work. You do not need any technical background — if you can use a web browser, you can follow every chapter. Depending on your role and your practice's licence, some features described here may not be visible to you.

Access in HiClinica is controlled by your user role and your practice's licence. If a menu, widget or button described in this manual is missing, ask your practice administrator to check your permissions.
How to use this manual
The manual is organised into chapters that follow the natural flow of work — getting set up, finding a patient, reviewing their record, documenting a visit and following up afterwards. If you are new to HiClinica, we recommend reading Getting Started from beginning to end, then dipping into other chapters as needed.
- Use the sidebar Every chapter and topic is listed on the left. On a phone or tablet, tap the menu button at the top-left to open it.
- Search for anything Press Ctrl K (or ⌘ K on a Mac), or /, and start typing — for example “allergies” or “referral”.
- Jump within a page Longer pages have an On this page panel on the right so you can skip straight to the section you need.
- Read in the dark Use the moon icon at the top-right to switch between light and dark mode. Your choice is remembered on this device.
Conventions used in this manual
To make instructions easy to follow, the manual uses a few consistent styles:

Your data and privacy
HiClinica is built for Australian healthcare. Patient information, including audio recorded with the AI conversation feature, is processed and stored within Australia.
Transcripts, note suggestions and pre-filled answers produced by HiClinica's AI features are drafts. Always review and correct them before saving — the clinician remains responsible for the accuracy of the clinical record.
Always obtain the patient's (or their representative's) consent before recording a consultation, in line with your organisation's policies.
